Connect your HR platform to Weave through Merge, a unified HRIS API. This gives Weave access to employee records, compensation data, and time-off schedules — enabling accurate out-of-office tracking, financial metrics, and automatic team member discovery.

Supported platforms

Weave supports a curated set of popular HR platforms out of the box: Don’t see your platform? Select Other during setup to browse 50+ additional HRIS providers supported through Merge.

What’s synced

Only approved time-off requests are synced. Pending or denied requests are excluded.

Why connect your HR platform

  • Automatic out-of-office tracking — Approved time off syncs directly into Weave alongside any manual days-off entry, ensuring metrics account for engineer availability
  • Accurate financial metrics — HR salary data provides per-engineer hourly rates for AI ROI and cost calculations, preferred over the organization default rate
  • Automatic account linking — Weave matches HR employees to existing accounts by email, reducing manual setup
  • Team member discovery — Unlinked HR employees appear as potential members you can add to your organization

Connecting your HR platform

1

Navigate to HR integration

Go to the Data page and click Connect on the HR integration card. You can also access it directly at Settings > HR integration.
2

Select your platform

Choose your HR platform from the grid. If your platform isn’t listed, select Other to browse all supported providers.
3

Authorize access

A Merge Link window opens. Sign in to your HR system and grant Weave read access to employee data. The specific authorization steps vary by platform.
4

Wait for initial sync

After authorization, Weave automatically syncs your employee directory, compensation records, and approved time off. This typically completes within a few minutes.

Requirements

  • You must have the admin role or Manage connections permission in Weave
  • Your Weave account must have an email address set

Account linking

After the initial sync, Weave automatically links HR employees to existing Weave accounts by matching email addresses. This powers per-engineer metrics like time off and financial calculations.

How auto-linking works

  1. Weave compares each HR employee’s work email against Weave account emails
  2. Matches are linked automatically — no manual action needed
  3. Unlinked HR employees appear as potential members on the team management page

Manual linking

If an employee’s HR email doesn’t match their Weave account email, you can link them manually from the member’s profile in team management.

Features enabled

Out-of-office tracking

HR time-off data is combined with any manually entered days off in Weave. Metrics automatically adjust for engineer availability, so time away doesn’t skew productivity calculations.

Financial metrics and hourly rates

When HR salary data is available for a linked member, Weave uses their actual hourly rate (derived from annual compensation) instead of the organization’s default rate. This improves the accuracy of:
  • AI ROI reports — cost savings based on real compensation
  • Per-engineer cost calculations across dashboards
Salary data is never displayed to any users on the platform.

Suggested members

HR employees who aren’t yet linked to a Weave account appear as suggested members. This helps you discover engineers who should be tracked in Weave but haven’t been added yet.

HR attributes for filtering and dashboards

Weave syncs common HR attributes into its tag system so you can segment metrics without manual setup:
  • Department, Cost center, Business unit, and Group memberships
  • Job title from each employee’s latest employment record
These appear as tag categories on linked members. Use them in report filters, drill-downs, and custom dashboards — including prebuilt Output by department, Output by cost centre, and Output by job title charts (available once HR sync has populated the tags).
Weave’s native Teams concept is separate from HR group memberships. Merge’s TEAM group type is intentionally not synced as a tag to avoid duplicating team structure.

Data privacy

Weave handles HR data with care:
  • Limited scope — Only employee directory information, compensation rates, and approved time off are synced. No performance reviews, personal documents, or sensitive HR records.
  • Compensation privacy — Salary data is used solely for organization-level financial calculations and is never displayed to any users on the platform.
  • Encryption — All data is encrypted in transit and at rest
  • Access control — Only organization admins can connect, configure, or disconnect the HR integration

Sync frequency

After the initial sync, Weave periodically refreshes data from your HR platform. Changes to employee status, new hires, compensation updates, and approved time off are picked up automatically. You can trigger a manual refresh by clicking Refresh status on the HR integration configuration page.

Troubleshooting

If employees from your HR system aren’t appearing in Weave:
  1. Verify the HR connection is active on the Data page
  2. Click Refresh status on the HR configuration page to trigger a re-sync
  3. Check that the employees exist in your HR system with an active status
  4. If the issue persists, disconnect and reconnect the integration
If HR employees aren’t automatically linked to Weave accounts:
  1. Ensure the employee’s work email in the HR system matches their Weave account email
  2. Check that the employee has a work email set in the HR system (some platforms use personal emails by default)
  3. Link accounts manually from the member’s profile in team management
If hourly rates aren’t being used from HR data:
  1. Verify the employee has employment/compensation records in the HR system
  2. Check that the HR employee is linked to a Weave account
  3. Note that not all HRIS providers expose compensation data through their API — this varies by platform and plan
If approved time off isn’t reflected in Weave:
  1. Confirm the time-off request is approved in the HR system (pending and denied requests are excluded)
  2. Verify the employee is linked to a Weave account
  3. Wait for the next sync cycle or trigger a manual refresh
  4. Check that your HR platform supports time-off data through the Merge API
If the integration shows errors or won’t connect:
  1. Verify your HR platform credentials are still valid
  2. Check that your HR platform plan includes API access
  3. Try disconnecting and reconnecting the integration
  4. Contact support at support@workweave.ai if errors persist

Disconnecting

To disconnect your HR integration:
  1. Go to the Data page and click Configure on the HR integration card
  2. Click Disconnect
  3. Confirm the disconnection
Disconnecting removes the link between Weave and your HR platform. Previously synced employee links, compensation data, and time-off records will no longer update. Existing account links are preserved but won’t receive new data.
